Employee onboarding workflows

When a new hire's start date approaches in Workday, your agent pulls their profile details, department, and manager information. It then creates a welcome channel in Slack, invites the manager and IT contact, and posts a structured onboarding checklist. The agent can also check whether the new hire's equipment request has been submitted and flag any missing items to the IT team.

Time-off balance queries

Managers frequently need to check their team's time-off balances before approving requests. Your agent queries Workday for the requesting employee's PTO balance, checks for scheduling conflicts with other team members who are already out, and returns a clear recommendation. The manager gets an answer in their chat window instead of logging into Workday.

Org chart and reporting chain lookups

How it works

Connect your Workday tenant through Weldable's authentication flow. Workday uses OAuth 2.0 for API access, and Weldable manages the token lifecycle including automatic refresh. Your agent authenticates as a service account with the permissions you configure in Workday's security settings.

Once connected, make requests in natural language. Ask "show me all open positions in the marketing department" or "what's the PTO balance for the product team?" and Weldable translates your intent into the appropriate Workday REST API calls. Results come back structured and ready for your agent to summarize or pass to another integration.

Tips

Workday's security model is role-based and very granular. The integration service account needs explicit security group assignments for each data domain it accesses (employee data, compensation, time off). Work with your Workday admin to scope permissions tightly. An account with broad access is a compliance risk.

Workday API responses use a nested XML/JSON structure. The data comes back with deep nesting, especially for worker profiles that include multiple positions, compensation plans, and benefit elections. Your agent handles the parsing, but be aware that complex queries may return large payloads.

Tenant-specific endpoints matter. Workday API URLs include your tenant name and the service version (e.g., /ccx/service/{tenant}/Human_Resources/v43.0). Make sure the tenant identifier is correct during setup. Test environments and production tenants have different URLs.

Time-off requests have approval workflows. If your agent submits time-off requests on behalf of employees, those requests still flow through Workday's configured approval chain. The agent creates the request, but managers approve it through their normal process.
